Contact policy in the integration and cryo-vacuum department

Please read this few lines to understand the policy for contacting members of the Integration and Cryo-Vacuum Department:

Like in the past, in addition to the normal involvement in the regular projects, the department supports other technical activities in the various fields where we have competencies. Two contact persons are nominated for every of the activities. In case the first contact person is off and only if there is no possibility to wait for his return, the requester will address his request to the secondcontact person.

As in the past the department will continue to follow the instruments long after their installation. Also there, two persons are nominated for most of the project. In case the first contact person is off and only if there is no possibility to wait for his return, the requester will address his request to the second contact person. In that case the second contact person will proceed and transmit latter the necessary information to the first contact person who remains the only person to have the complete information. It is the responsibility of the department head to ensure that the second contact person has a reasonable knowledge of the project.

Any request for activities requiring a significant amount of time (more than one day) and which was not planed at the time of the definition of the budget and manpower allocation should be addressed to the head of department.For any package, which can be considered as a deliverable, I would ask the requesters to define it as a work-order. Work-orders are defined at the same time as the budget and planing (in August) and should include a clear description of what and when it has to be delivered. Then the responsibility and budget is transferred to the Integration Department.

Please find below the lists of contact persons in the integration group per activities and per projects.Due to the continuously increasing load on the department and in order to ensure the best efficiency, I wouldlike to ask all requesters to stick strictly to the following lists.

As usual the priorities are fixed by the department head after (if necessary) consultation with the division head. In general the top priority remains: the instrument in operation in one of the two Observatories followed by the next instrument to be installed.
