re: Rappel 2007 IAU meetings
Dear Presidents,
The IAU Executive Committee, in its meeting of 18-20 April 2005,
and in consultation with the IAU Division Presidents, has decided
to upgrade the IAU Colloquium series to IAU Symposium status, and
to simplify the IAU meeting proposal procedure.
This implies that the IAU Colloquium series will stop at No. 200.
The simplification of the IAU meeting proposal procedure comprises:
- Letters of Support from Divisions, Commissions and Working/
Program Groups will not be necessary anymore.
- Instead, proposers should (a) make sure which IAU Divisions,
Commissions and Working/Program Groups are relevant for their
proposal; (b) consult with the Presidents of those Divisions,
Commissions and Working/Program Groups informally about the
contents of their proposal; and (c) add to their proposal a
brief report of that consultation.
A time line of due dates is given below.

PROCEDURE FOR SUBMISSION OF PROPOSALS FOR IAU SYMPOSIA TO BE HELD IN 2007
As of 2006, the IAU will end its IAU Colloquium Series. For the year 2007
and later the IAU will accept proposals for IAU Symposia, about nine per year.
The IAU welcomes proposals for 2007 IAU Symposia, following the rules and
guidelines given at < http://www.iau.org/IAU/Activities/meetings/ > .
Should IAU members wish to propose an IAU Symposium for the year 2007,
the following procedure applies:
* Observe the <Rules and Guidelines for IAU Scientific meetings>.
* Observe the Time Line of Due Dates as given below.
* Thus, the first step is: send a one-page Letter of Intent (LoI) to the
<IAU Assistant General Secretary> (AGS), before 15 September 2005.
The LoI should provide:
. the title of the intended symposium,
. the name(s) of the foreseen SOC chairperson(s),
. the desired Coordinating IAU Division for the intended symposium,
. the venue and the preferred dates,
. a short list of topics (up to 10).
* Last step: submit your final proposal to the <IAU Proposal Web Server>
before December 15, 2005.

TIME LINE OF DUE DATES FOR SUBMISSION OF PROPOSALS FOR IAU SYMPOSIA IN 2007

15 September 2005 -- Due date for proposer to submit a Letter of Intent (LoI)
to the <Assistant General Secretary> (AGS). LoIs will be
posted on the IAU web site.
-- Informal consultation of proposers with Presidents of
relevant IAU Divisions (DPs), IAU Commissions (CPs)
and/or IAU Working/Program Groups (W/PGPs).
15 December 2005 -- Due date for proposer to submit to the IAU Proposal Web
Server the final proposal and a <.zip> file containing
scientific rationale, draft programme, tentative
speakers list, and a brief report of the consultation
with DPs, CPs and/or W/PGPs.

15 January 2006 -- DPs receive from AGS a paper copy of all proposal
material.
1 March 2006 -- Due date for DPs' reviewing, ranking and comments via
IAU Proposal Web Server, in consultation with Division
OC, CPs and W/PGPs.
15 March 2006 -- Due date for AGS to make DP evaluation summary available
to DPs, preparing for a teleconference and final ranking.
1 April 2006 -- Due date for AGS to send all proposal material and DP
evaluation report to IAU-EC.
1 May 2006 -- Final selection by IAU-EC.
15 May 2006 -- AGS informs all proposers, DPs, CPs, W/PGPs of final
selection.
